Getting Started

For the Sake of Clarity

I exclusively work with QuickBooks Online (QBO) and with QuickBooks Desktop (QBD) only to migrate to QBO. While I have been working with QBD since the late 1980’s, I have found QBO to offer more time-saving features and functionality. Plus, QBO is an actively and continuously evolving Software as a Service (SaaS) and as such, is updated frequently. This is important and invaluable to me. Yes, there are companies for which QBD is still the best choice. There are many articles written about QuickBooks Online vs QuickBooks Desktop and I encourage you to seek them out if you are in the process of making this decision.

Let’s Get Started

Maybe you love this bookkeeping stuff, maybe you hate it. Maybe your books are a mess, maybe they need some refreshing. Maybe this stuff excites you, maybe it drives you crazy! Maybe you wish to be part of the workflow, and maybe you would like to be involved as little as possible. If you have zero bookkeeping in place, I can get your started. Whatever the circumstances, I truly do love helping folks with the accounting and bookkeeping part of their business. So here is a general idea of how we’ll get started:

  1. Let’s have a conversation which typically starts with a phone call, then moves to email and video calls.

  2. If requested, you’ll send me a few months and up to a year of your bank statements so that I may review and estimate the amount of work you have requested of me.

  3. I’ll send you an Engagement Letter and a Request for Retainer Invoice which will be based on an Estimate outlining the work you need done as per our conversation(s). I’ll also send you an invoice as per step five (5) below for two months of your QBO subscription which is for the first and last months, and set up the recurring monthly fee in my merchant services account.

  4. You’ll add me as a sub-user or restricted, privileged user in each of your bank accounts with privileges to only view transactions, download transaction data, and download bank statements.

  5. I’ll discuss with you what you need to be able to do with the accounting and bookkeeping part of your business, then recommend the best QBO subscription that fits your needs. 

    • If you do not already have a QBO subscription, I will acquire the subscription and offer it to you at a discounted rate. I’ll add you as a user to the QBO subscription and by video call, guide you through the process of connecting your bank account(s) to the QBO subscription, then syncing your bank account transactions for a specific period of time.

    • If you have your own QBO subscription, you’ll go to the Gear Icon > Manage Users > Accounting firms > Invite and thereby add me to your list of Accountants.

  6. Yes, receipts are an excellent resource to understand your transactions and how to best categorize them. QBO has some nifty options for managing receipts and we will discuss this, too.

  7. Yes, if we have the option to connect your credit card accounts, we’ll do that, too!

  8. Yes, if you have an investment account for which a part of that you use as an active spending account, we’ll connect this as well.

  9. Yes, if you have employees, contractors, subcontractors, I’ll need information about them as well.
